Onboarding Page

Audience: Retailers using the On-Demand Onboarding process.

In this article, you will find information related to the Onboarding page. The sections within this article are outlined below:

 

Prerequisites

Implement On-Demand Onboarding
The Onboarding page is only available to retailers that are using our On-Demand Onboarding process. To find out more and see how this process would work with your organization, reach out to your Client Success Manager. This service is free of charge but does require additional setup from Logicbroker. 


Set up permissions
You must have the permissions: integrations/manage enabled to see this page - see Manage Users for more information on how to get setup


Log in using the stage portal
The Onboarding page is only available in the stage portal as all onboarding tasks take place in stage so be sure you are using the correct portal.

 

Onboarding Page

The Onboarding page is where retailers are able to initiate, manage and see all their new vendor onboardings. Retailers can take action on vendor accounts to push them along the process.

At a Glance
Company name
The name of the vendor

Primary contact
The primary contact for the vendor - this is the person the New Integration email will be sent to

Status
The status of the vendor account - this field will not indicate where in the onboarding process the vendor is in. Status codes include:
  • Form Open - the retailer has sent that New Integration email
  • Form Completed - the vendor has completed the Integration Form
  • Deployed to Stage - the retailer has accepted the Integration Form
  • Live - the retailer has pushed the vendor account into production

Priority
Visibility into the priority the retailer has for the vendor. Priority levels include: 
  • Low
  • Medium
  • High
  • Ignored - this priority level is used to ignore a vendor integration since once deployed to stage, integrations cannot be deleted

Started
The date and time stamp of when the retailer initiated the process for the new vendor onboarding

Requested Go Live
The date and time stamp of when the retailer requested the vendor to go live - this comes from the new vendor invitation

Live
The date and time stamp of when the vendor was pushed into production 
Display
Show/hide columns
Click on the 3 vertical lines in the top right to customize your view. Toggle on (red) to add a column to your Integrations page Please Note: these settings will not stick and will need to be reconfigured if you refresh the screen

Filter results
Click on the 3 horizontal lines in the top right to filter your results. Select the column you want to filter by, the operator, the results you want to display then click Add. Once a filter is added, you will see a button with that filter in the top left. Filters can be stacked, so add new filters or remove them by clicking the x in t filter button up top.

Supplier Agreement

The Supplier Agreement is an optional tool retailers can use as part of their vendor onboarding process. This document can be used to share vendor agreements or terms and conditions with the vendor at the beginning of the onboarding process. This is mostly used in marketplace scenarios as dropship tends to have more redlining and negotiations between parties.


How it works
If the retailer decides to use the Supplier Agreement, they will upload one into the portal as a PDF document. The same document will be shared with all vendors, so be sure this document is standard across all vendors. Once the retailer initiates a new vendor onboarding, the vendor will receive the New Integration email where they will be prompted to fill out the Integration Form. As part of the form, they will see the Supplier Agreement which they can read through, download and sign. Vendors cannot move onto the next step without signing the agreement which ensures all vendors are aligned with the set policies. 3.jpg

Onboard a new vendor

There are two ways retailers can onboard a new vendor, in bulk or individually:


Bulk Invite
Bulk invitations can be sent to up to 50 new vendors at a time. 
  1. Click on the Bulk Invite button

  2. Download the template and fill out:
    • *Company - required - do not include vendor or account ID numbers
    • *Email - required - this email must be unique, you cannot use the same email that you used for another vendor integration
    • Priority - optional - this field is only visible to the retailer in the Integrations page (Allowed values are: low, medium, high)
    • Requested Go Live - optional - this will be reflected on the New Integration email and is meant to set an expectation for the vendor

  3. Save your file and upload it
  4. Click Send Invites
  5. Review results and fix any errors

  6. See the new integrations in the Integrations page

New Integration
New integrations are sent to one vendor at a time. 
  1. Click on the New Integration button

  2. Fill out:
    • *Company - required - do not include vendor or account ID numbers
    • *Email - required - this email must be unique, you cannot use the same email that you used for another vendor integration
    • Priority - optional - this field is only visible to the retailer in the Integrations page (Allowed values are: low, medium, high)

  3. Click Send Invite
  4. See the new integrations in the Integrations page

View
To see more details on a vendor and updates on their integration, click on the View button.mceclip14.png

Delete
To delete a vendor integration, click on the Delete button. Note: You can only delete integrations in a status of Form Open. Once vendors are Deployed to Stage, you cannot delete their integration since we cannot remove accounts that have been deployed. In this case, you can set the priority to Ignoredmceclip1.png

 

Vendor Integration Page

Click on View on any of the vendors to see the Vendor Integration page. This page displays details on a specific vendor including status, form details and account updates.

At a Glance
Form details
The top half of the page will display the vendor's Integration Form details

Account history
The bottom half of the page will display updates on the account - these will not be specific to onboarding steps
Actions
Change Priority
Retailers can change the priority for any vendor if priorities shift within their organization. These updates will be displayed on the main page. 

Change Requested Live Date
Retailers can change the requested live date for any vendor as dates shift. These updates will be displayed on the main page. Note: Changing this field will not notify the vendor of the date change.

Accept/Reject
Once the vendor submits the Integration Form, the retailer will receive an email notification (as long as they have the Trading Partner Notification enabled). In the Onboarding page, the retailer will review the vendor's submission and either accept or reject it. Note: These actions are only available when the vendor's status is Form Completed.
  • If rejected: the vendor will receive an email notification with the rejection reason and the opportunity to go back and edit the information
  • If accepted: the vendor account will be deployed to stage and they will receive 2 emails:
    • Welcome to Logicbroker! - this email will allow the vendor to create a username and password - it expires in 7 days
    • Connection with Retailer is ready for testing - this email will direct the vendor to the stage portal to begin testing

Resend Invite
If the vendor did not review or receive the Welcome to Logicbroker! email which links them to create a username and password before the 7 day expiration period, the retailer can issue a new email by clicking the Resend Invite button. Note: This action is only available when the vendor's status is Deployed in Stage.

Go Live
Once the vendor has completed all onboarding tasks (these vary depending on the retailer), the retailer can deploy the vendor's account into production by clicking the Go Live button. Note: This action is only available when the vendor's status is Deployed in Stage

 

Process Overview

This section will go over the process of onboarding a vendor using the Onboarding page. 

Process Overview

1. Retailer sends out the new vendor invitation in the portal by clicking on the Bulk Invite or New Integration buttons.
Status: Form Open


2. Vendor receives the New Integration email mceclip2.png


3. From the New Integration email, the vendor clicks on the link to be directed to the Integration Form. This form will ask the vendor:

    • If they are using an existing account or creating a new one

    • Company information (only fields marked with an asterisk are required)

    • Sign the Supplier Agreement (only if the retailer uploaded one to their account)

Status: Form Completed


4. Once the vendor completes the Integration Form, the retailer will receive a Form Completed email (as long as they have the Trading Partner Notification enabled).

5. The retailer will look for the vendor in the Onboarding page in the portal > click on View > Accept or Reject the Integration Form

6. If the retailer rejects the form, the vendor will receive an email notification letting them know why it was rejected and will allow them to make adjustments to the form which will be reviewed again the retailer. 
Status: Form Open
If the retailer accepts the form, the vendor account will be deployed to stage and the vendor will receive 2 emails:

    • Welcome to Logicbroker! - this email will allow the vendor to create a username and password - it expires in 7 days
    • Connection with Retailer is ready for testing - this email will direct the vendor to the stage portal to begin testing

Status: Deployed to Stage


7. The vendor will follow along with onboarding documentation provided and complete onboarding tasks. 


8. The vendor will reach out to the retailer once they are finished onboarding. The retailer will click on the Go Live button in the portal and the vendor will be deployed to production.
